Reviewing/Viewing Data Records
Once in Excel, you will want to review the data before generating reports.
Any entry in the data portion of the Records worksheet can simply be overridden.
Double-Marks
We will automatically highlight all double-entries (i.e. fields with more than one response). Because some highlighted data fields will be hidden from the current view (i.e. you'll have to scroll to the right to see them) we also place a highlight in the far left column.
Step through the highlighted rows. Place the cursor anywhere into the row with the error and then click 'View Image'.
This will open the scanned image and all the data detected on it. Make any corrections as necessary. If the student really did mark multiple bubbles, you can leave the entry as is. It will be counted as an incorrect response.
When you have corrected all entries, click on DONE .
This will return you to the Records worksheet, write the updated data into the RECORDS worksheet and remove the red highlights from the row you just (re-)viewed.
Incomplete IDs
Our SAT Scoring solution requires that students enter their complete ID on each of the bubble sheets. Unfortunately, this doesn't always happen, resulting in scanned records with incomplete or missing student IDs. You can review the hard copies (or the scanned images via VIEW button) and manually enter the student IDs.
Because many of our customers administer partial exams we no longer check that four separate pages exist for a given student ID.
Scanning and Other Errors
Occasionally you will see scanning errors that can be caused by mangled forms, forms that are scanned up side down or badly skewed forms. When our spreadsheet detects any irregularity it will not display any (possibly compromised) responses, only an 'Error'.
You may want to click on the hyperlink in column 2 (1160009331.tif in the example above) to see which form didn't scan correctly and then either rescan the form or manually enter the relevant information. In this example the error was caused by a bent corner which made the (required!) alignment square in the top left hand corner undetectable.
If you need to delete a particular record (like the error entry above), place the cursor anywhere into the row of the entry you want to delete and then click the blue button 'Clear Selected Record'.
When all data in the Records worksheet has been reviewed, you should enter the Essay scores
and then proceed to generate your report(s).
